How Seventh-day Adventist Church — Adenta, Madina & Amrahia Districts collects, uses and protects information for AMA Youth Camp 2026.

Effective date: September 6, 2026

This policy explains what information we collect through this website when a guardian registers a camper for AMA Youth Camp 2026, tracks payments, or uses an admin account, and how that information is used, shared and protected. By registering a camper or creating an account, you agree to the practices described here.

Information we collect

Camper registration. First and last name, gender, date of birth, age, phone number and email (optional), district and church, guardian name and phone number, guardian consent and waiver status, emergency contact name and phone, medical notes, dietary needs/food exceptions, and check-in/check-out dates.

Payments. Amount paid, payment method, payment reference, status, and any notes recorded by the camp office. We do not collect or store full card, mobile money PIN, or bank account details on this site — payments are recorded by reference, not processed by us.

Guardian account. If you create an account to track a camper's payments, we store your email address and login timestamps. We use a passwordless "magic link" sent to that email instead of a password.

Admin accounts. Camp committee members who manage the system sign in with a username and password specific to the admin console.

How we use this information

We use the information above to process camper registrations, confirm and reconcile payments, plan meals and activities around dietary and medical needs, contact guardians or emergency contacts if needed during the camp, and keep district and church attendance records for Seventh-day Adventist Church — Adenta, Madina & Amrahia Districts.

Email and SMS notifications

We send email for account-related messages — registration confirmations and the passwordless login link. We send SMS only for payment notifications (for example, confirming a payment was received). We do not use SMS for marketing or general announcements.

Who can see this information

Registration and payment records are visible to authorized camp committee administrators for the Adenta, Madina and Amrahia districts, and to the guardian account tied to that camper's registration email. We do not sell or rent personal information to third parties. We may share information with SDA district or church leadership solely for camp administration, or where required by law.

Children's information

Most campers registered through this site are minors. Registration is completed by a parent or guardian, who provides consent and camper information on the camper's behalf. Guardians can contact us at any time using the details below to review, update or request deletion of their camper's information.

Data retention & security

We retain registration and payment records for camp planning, financial record-keeping and safety follow-up, and remove records that are no longer needed for those purposes on request. Session tokens for guardian and admin accounts are stored in your browser and expire automatically; passwords are never stored in plain text.

Your choices

You may request a copy of the information we hold about a camper you registered, ask us to correct it, or ask us to delete it, subject to records we're required to keep for camp safety or financial purposes. Contact us using the details below.
